The Hong Kong Trade Development Council (HKTDC) is a statutory body established in 1966 to promote, assist and develop Hong Kong's trade. With 50 offices globally, including 13 in Mainland China, the HKTDC promotes Hong Kong as a two-way global investment and business hub.
Its London Office is inviting applications for the following position:
Administrative Assistant (on-site position at our London office)
Job Responsibilities
Accounting Duties:
- Attending to the full range of accounts recording duties using our in-house accounting system OCBS. Knowledge of Excel is a must and some knowledge of Database is an advantage. Preparing and reporting accounts regularly to Head Office. Records entered in the OCBS must be accurate. Expected training time on using OCBS is two-three days approx.
- Preparing quarterly VAT report and annual VAT Reconciliation. Knowledge of VAT is a must
- Preparing annual statutory reports such as Report of expenses and benefits (Form P11D) and Company Annual Return for Companies House
- Preparing accounting reports including Budget Estimate, Stock Take, Project Expending Reports, Accrual, etc.
- Making sure payments are made on time especially PAYE/NIC and Tax. Knowledge of these payments is preferred
- Ensuring the Company’s F&A regulations requirements are fulfilled before making payments. Requirements including getting approval from supervisors, respective project managers at Head Office, getting alternative quotations if the amount exceeds certain limit, etc.
- Attending to annual audit from external Auditors
- Answering enquiries from Head Office regarding the accounts and payments
Administrative Duties:
- Ensuring the office fulfill Health and Safety requirements and monitoring the office’s tidiness and cleanliness;
- Handling the maintenance of our Grade II listed building and all office equipment and supplies;
- Other office’s daily administrative duties such as replenishment of stationery, corporate brochures, etc.
Marketing Duties:
- Assisting in any marketing projects as assigned by the Marketing Team
- Providing secretarial support such as consolidating reports, compilation of meeting kits, filing, etc.
Job Requirements
- University graduated or equivalent;
- 2-3 years related working experience preferably with experience in accounting;
- Knowledge in marketing will be a plus;
- Independent, attention to detail and well organised;
- Good interpersonal and communication skills;
- A good team player, with pleasant personality & positive attitude;
- Good command of both written and spoken English, Cantonese speaking is an advantage;
- Computer literacy
