The Opportunity
Our client is a highly regarded, award winning boutique private client wealth planner, asset manager and specialist within employee benefits. As they are entirely independent they can provide objective advice that is aligned to client’s best interests, delivered by extensively knowledgeable and experienced specialist teams. The company has been built on integrity and trust, which has resulted in the award of Corporate chartered status by the Chartered Insurance institute. Due to increased levels of business this opportunity has arisen, allowing an ambitious, talented and committed Private Client Administrator to join a truly impressive firm, and to provide exceptional quality technical and general administrative support to the Private Client Director and other members of a busy and successful team.
This is a demanding role, suiting an experienced administrator who enjoys working autonomously in a driven and high-performing team.
The Role
As an experienced Private Client Administrator, your duties will include (but not limited to):
Organising and diarising meetings on behalf of the Private Client Director
Working with the Private Client Director to prioritise tasks
Handling calls and email queries as appropriate and act on all non-technical queries
Providing agendas and information requests prior to client meetings, if required
Assisting with the production of management information
Assisting with general administration as required
Using appropriate systems and processes to submit new business to providers
Assisting with the preparation of meeting packs for client meetings and Annual Suitability
reviews
Preparing application forms and other documents for client signing or approval
Liaising with product providers to ensure all applications are received and completed
Producing accurate client portfolio valuations and statements using Intelligent Office
Assisting with trades and portfolio rebalancing, as required
Assist with cash management control on client accounts
Closing plans correctly on Intelligent Office in a timely manner and ensure income expectations
are settled, if relevant
Ensuring all client information (including meeting notes) is accurately maintained on internal systems
Scheduling and managing follow up tasks relating to client meetings and business submissions
Ensuring client agreements, including fee schedules, are in place and are signed, documented and saved
Ensuring electronic client files are organised and updated, and easily accessible
Assisting the team in complying with FCA and internal compliance procedures, ensuring all client files and information remain compliant and confidential
Notifying the adviser of any suspicion of a complaint and follow appropriate procedures within the complaints handling process
Following Anti-Money Laundering Procedures and complying with the requirements of GDPR
About you
As an experienced Private Client Administrator you will possess most of the following:
At last 1 years’ experience within the independent sector of the financial services industry, in a relevant administration role
Sound technical knowledge covering pensions and investments, ISAs, bonds, trusts and protection
Demonstrable experience of delivering client service at the highest level
Excellent IT skills with a good working knowledge of Excel
Excellent written and verbal communication skills with a high level of attention to detail
Sufficient understanding of the needs of Financial Services teams, FCA rules and compliances in order to effectively carry out the role
Relevant industry qualifications will be an advantage but not essential.
The ability to work to deadlines, being personally resilient and able to handle the pressure of a busy team, a demanding workload and complex client needs
Possess focus and motivation in delivering an exceptional level of customer service to clients, third parties and colleagues
