Job Description – Business Administrator/PA to CEO
Reports to: CEO and National Account Manager

Job Overview:
As we continue to grow, we are seeking a Business Administrator/PA to support both the day-to-day administrative needs of the business and provide dedicated assistance to the CEO. This role is ideal for someone who is highly organised, detail-oriented, and eager to work in a fast-paced environment. You will be responsible for supporting business operations while serving as a trusted personal assistant to the CEO, ensuring smooth management of schedules, communications, and other key tasks.
Key Responsibilities:
- Business Support:
- Provide comprehensive administrative support to the retail and commercial teams.
- Assist with the completion of new line and promotional forms for major retailers.
- Manage internal documentation filing and system management.
- Support with order processing between clients and retailers.
- Work on contract builds with National Account Managers.
- Help with populating client sales reports and activity trackers.
- Assist with market research and sourcing data for new, innovative brands to add to our portfolio.
- Manage stock levels and assist with warehouse management systems.
- Coordinate with the finance team on invoicing and payment tracking.
- Maintain business social media platforms with content and updates as needed.
- Personal Assistance to the CEO:
- Manage the CEO’s diary, schedule meetings, and coordinate travel arrangements.
- Act as a first point of contact for the CEO, handling correspondence and prioritising emails and calls.
- Prepare reports, presentations, and documents on behalf of the CEO.
- Ensure timely follow-up on tasks and projects assigned by the CEO, maintaining a clear overview of priorities.
- Attend meetings with or on behalf of the CEO, taking minutes and ensuring action points are followed up.
- Assist with both professional and personal administrative tasks for the CEO.
- Handle confidential information with the utmost discretion and professionalism.
Requirements:
- Qualifications & Experience:
- Bachelor’s degree in business, administration, or a related field is preferred.
- Experience working as a personal assistant or in a similar administrative role is a strong advantage.
- Excellent organisational skills, with the ability to manage multiple projects and deadlines simultaneously.
- Exceptional written and verbal communication skills.
- Proficient in Microsoft Office and project management tools.
- Strong attention to detail and a proactive approach to problem-solving.
- Ability to handle sensitive information with confidentiality and discretion.
- A can-do attitude and eagerness to learn about business operations, with a particular interest in retail and the healthcare/wellness sector.
Hours: Full time.
Location: Nottingham, United Kingdom / Flexible working with potential travel.
