Property Administrator
Hertford, rural location
£30,000, depending upon experience
Monday to Friday, 8 am to 5 pm
This role will suit someone who is highly professional with a desire to work in an entrepreneurial family-business. The position is a varied and interesting client-side role responsible for assisting on the delivery of all lettings (commercial and residential), property management and the coordination of maintenance activity.
I am looking for a Rural Estates Administrator to assist the Estates Manager in the management of a large portfolio of residential, commercial, and industrial properties, providing efficient and accurate administrative duties for the day-to-day management of the portfolio.
The role will be 70% estates administration, and 30% office administration which will include administration for the accounts, operations, office management & reception teams.
The successful applicant will need to be solution orientated and capable of working independently.
The brand-new and high spec offices are located in a rural office location so you must be a car driver as there is no public transport nearby.
Role & Responsibilities:
To provide general administrative support to the Estates Manager.
Assist the Estates Manager with potential tenant viewings.
To act as the first point of contact for all Estates department enquiries.
Take minutes at Estate Meetings.
To report, record and administer routine maintenance and repairs to all properties.
Manage assured contractor database obtaining necessary tickets and insurance cover documents.
Keep and maintain reliable records and filing for each property/tenancy.
Act as Tenant liaison.
Maintaining insurance records and assisting with the annual renewal.
Diary management and scheduling for the Estates Manager.
Administrate staff accommodation, including end of tenancy cleaning, maintenance and furnishing.
Drafting tenancy agreements.
Organising marketing of vacant property.
Producing Record of conditions for ingoing tenants and dilapidation schedules for outgoing tenants.
Work with the Financial Controller to ensure monthly invoicing is undertaken.
Manage and record compliance issues and schedules.
Arrange all gas safety, EPC and electrical certificates.
Obtain quotes for repairs, negotiate and arrange for payment of work.
Meet with contractors onsite.
Undertake periodic property inspections.
Negotiate rental offers.
Undertake referencing for prospective tenants.
Obtain holding fees, deposits and advance payments.
Meet with new tenants and handover keys.
Obtain quotes, negotiate and purchase materials as required for maintenance and projects.
Prepare and submit Court applications, Witness Statements and evidence.
Check and review all Council Tax Bills for payment.
Deal with enquiries from TV Licensing
Read all electric meters, water meters, biomass meters and solar meters on a monthly or quarterly basis as required.
Maintain records of all readings
Obtain quotes and organise emptying of klargesters and maintain records.
Update numbers for gate database.
Debt management and arrears chasing
Maintain key cupboard and obtain copies of keys where required.
To provide phone cover for reception during busy periods / lunches.
Office Administration:

Cover the reception and phones when the Office Administrator is on lunch and annual leave.

Assist the Financial Controller with day-to-day financial administrative tasks.

General ad hoc projects and tasks.
Candidate Requirements:

Experience in residential and commercial lettings (Desirable).

Administration experience.

Full driving licence.

Excellent communication skills.

Good IT skills.

Ability to use initiative and work with limited supervision, highly organised.
