As an experienced office administrator/logistics co-ordinator, you can demonstrate previous roles that show your skills in direct handling of customer enquiries and how you helped resolve their questions, logistical admin for engineers/site workers, CRM management, monthly reporting and similar office administration duties. The Role
Answering the phone and Directing Enquiries:

Efficiently manage incoming calls, directing them to appropriate personnel and providing information or assistance as necessary.

Provide information or assistance as needed to the customer.
Logistics Coordination:

Ordering maintenance, repair, and installation parts, ensuring timely and accurate delivery to either the office or specific job sites, based on project needs.

Send Job cards to the customers once the job has been completed and signed off.

Organise and manage the gas bottles.
Inquiry Response and Information Collection:
- Act as the initial responder to inquiries received via email or phone, collecting essential information for quotation preparation.
Quotation and CRM Management:

Follow up on quotations that have been sent.

Update and maintain the CRM system, ensuring accurate record-keeping for reporting purposes.
Reporting:

Generate comprehensive monthly management reports detailing the levels of enquiries and outcomes.

Compile and update FGAS logs for all clients, addressing customer requirements promptly and efficiently.

Maintaining the refrigerant transaction report.
The Candidate
Essential
High-level numeracy skills
Maths & English GCSE at grade C or above (or equivalent)
Excellent written and verbal communication skills
Significant experience in an office environment, and a thorough understanding of administrative procedures in a business, preferably in a similar Engineering/site working environment.
Experience and knowledge of Microsoft Office, including Word and Excel
A high degree of accuracy and timeliness in all work produced
A proactive approach and the ability to prioritise
Ability to act with professionalism and integrity at all times
Able to be discreet and maintain confidentiality
A smart and professional appearance
Confidence to engage with customers at all levels
Willingness to be flexible, to meet the needs of the business

Experience of using Microsoft Office 365
Experience of using social media for business
