My client are looking for a new Service Coordinator to join their team. They are a HVAC company which speacialise with air conditioning.
Responsibilities & Duties:

Know and understand the Company values and ethos to ensure that this is disseminated throughout the business.

Co-ordinate the service administration for multiple service contracts

Deal with reactive call outs assigning the appropriate engineer and raise job to suit

Raise draft quotations for any remedial works where required

Manage the on-call rota and transfer of phone on a weekly basis
-
Manage the inflow of reports ensuring they are received within the permitted deadline
-
Maintain, process and store internal documentation and reports in line with the company’s document policy

Maintain accurate and appropriate service records and logs, such as the RAMS, SLA contracts, SLA rates and procurement documentation etc.

Manage the service engineers’ calendars and send WOs/job cards to relevant engineers to assign their time correctly

Ensure timesheets are up to date for live job tracking

Work closely with administration teams to facilitate the timely flow of information

Use the company’s software to raise purchase orders and confirm Goods Receipt Notices for received invoices etc.

Manage deliveries into the office and notify the service contracts manager

Liaise with engineers to ensure they have or collect the required materials to carry out remedials

Set up new suppliers and clients when required

Schedule site meetings

To act as the administration contact for the service team, dealing with enquiries by phone or in writing, providing information and referring to colleagues when appropriate

Assist with the service budget management by maintaining an accurate work trail of engineer’s workload

Deal with ad-hoc queries and tasks as required.

Provide support with other administrative work required by administration team to ensure the smooth running of the office
