Role Overview:
The Personal Assistant is responsible for providing comprehensive support to the senior leadership team which includes two Directors managing their day-to-day administrative tasks, and ensuring efficient operation of their office. This role demands a highly organised, detail-oriented individual with exceptional communication skills and the ability to manage multiple tasks simultaneously in a fast-paced environment.
Key Responsibilities:
Diary Management: Manage the executive's diary, schedule appointments, and ensure they are well-prepared for meetings. Handle changes or cancellations as necessary.
Communication Management: Manage incoming calls, emails, and mail. Ensure all correspondence is captured, directed, and responded to appropriately. Act as the point of contact between the executive and internal or external contacts.
Document Preparation: Draft, format, and prepare reports, presentations, and correspondence that meet the organization's standards.
Meeting Coordination: Organise and prepare for meetings, including gathering documents and attending to logistics like booking rooms and setting up conference calls.
Travel Arrangements: Arrange travel and accommodations for business trips, ensuring that all necessary files, materials, and travel documents are prepared.
Expense Reports: Manage and submit expense reports and monitor payments.
Event Planning: Assist in planning and organizing company events or meetings that the executive is involved in.
Confidentiality: Handle confidential documents and communications with discretion.
Project Management: Take on small projects and manage them from initiation to completion under the guidance of the executive.
Qualifications and Skills:
Organisational Skills: Exceptional ability to organise, prioritize, and streamline tasks effectively.
Communication Skills: Excellent written and verbal communication skills, with the adeptness to communicate on behalf of the executive.
Interpersonal Skills: Strong interpersonal skills, with the ability to manage professional relationships and interact with staff at all levels.
Attention to Detail: Meticulous attention to detail with the capability to produce work that is consistently error-free.
Adaptability: Ability to adapt to changing schedules and priorities. Comfortable working in a dynamic and fast-paced environment.
Problem Solving: Proactive in identifying issues and capable of thinking critically about solutions.
Discretion: High level of discretion and confidentiality, understanding the sensitive nature of the role.
Technology Skills: Proficiency in office productivity tools (e.g., Microsoft Office Suite), with the ability to quickly learn new software or systems.
Proven experience as a Personal Assistant or similar administrative role.
Strong background in all aspects of office management and administrative support.
Experience in handling confidential information with discretion.
