Office Manager / Mayfair / Permanent / Full time
I am seeking a highly organised and dynamic Office Manager to join a prestigious financial services firm based in West London. This role is integral to ensuring the smooth and efficient running of the office while providing high-level administrative support to senior executives. You should be confident in communicating with high level personnel and have a corporate office management background.
Role and Responsibilities:
Oversee the daily operations of the office, ensuring a well-organised, professional, and productive environment
Manage office supplies, including ordering, stocking, and maintaining inventory
Coordinate with vendors, suppliers, and service providers to ensure optimal office functionality
Oversee the maintenance and upkeep of office facilities, including liaising with building management for repairs or issues
Handle health and safety requirements, ensuring compliance with legal regulations
Organise company events, meetings, and team-building activities
Support on IT issues in the office and contacting the relevant supplier
Manage the booking and coordination of meeting rooms
Support with HR
Provide comprehensive EA support to senior executives, including diary management, travel arrangements, and meeting coordination
Manage and prioritise incoming communications, including emails, phone calls, and post, ensuring timely responses
Prepare documents, reports, and presentations as required by senior management
Organise and coordinate meetings, including preparing agendas, taking minutes, and following up on action points
Handle confidential and sensitive information with the utmost discretion
Act as the first point of contact for clients, partners, and visitors, ensuring a professional and welcoming atmosphere
Key Requirements:
Proven experience in an Office Manager role, preferably within financial services or a professional environment
Strong organisational skills with the ability to multitask and manage time effectively
Excellent communication skills, both written and verbal, with a high level of professionalism
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Ability to work independently and as part of a team, demonstrating initiative and proactivity
Discreet, trustworthy, and capable of handling confidential information
