Primary Responsibilities for This Role Include:
Facilities Management: Maintain building equipment, ensuring it functions optimally, and schedule regular maintenance and repairs as needed. Supervise and coordinate external contractors for various maintenance and repair projects. Manage facilities maintenance schedules, including liaising with suppliers and contractors. Respond promptly to urgent issues, ensuring timely resolution to minimize disruption. Emergency response for security and fire alarms. Document processes and keep maintenance records. Keep track of regular and ad-hoc facility expenses, creating POs for facilities-related expenses.
Supplier & Contractor Management: Collaborate and liaise with suppliers and contractors to maintain an efficient maintenance schedule and coordinate any repairs needed. Liaise with security system providers for proactive system maintenance. Document processes and keep maintenance records.
Office Management: Keep our offices running smoothly by managing supplies, including beverages, snacks, and other facilities materials. Provide on-site office support as needed, such as supporting employees and ensuring a well-organized office environment. Work with the admin team to coordinate employee social events. Assist with various on-site office needs, supporting day-to-day operations of the office environment. Provide phone support and coordinate any visitors on-site. In addition, monitor activities that happen outside the building, such as proper waste disposal, recycling, keeping track of regular and ad-hoc expenses, and other duties as reasonably requested by the business.
We Are Ideally Looking for Someone With the Following Skills and Experience:
Ideally, you will have the ability to build relationships quickly and be a great communicator. Time management and prioritization skills are also something we are looking for in the candidate.
2+ years in an office manager role, with experience as a facilities coordinator being a bonus.
Ability to respond to building and equipment emergencies.
Excellent communication and interpersonal skills with a demonstrable aptitude for problem-solving and team working.
Proficiency in Office software such as Microsoft Word, Excel, and Outlook.
Must be flexible, highly-organized, and have a proven ability to juggle multiple and competing tasks and demands.

We anticipate a salary between £30,000 and £35,000 for this role, depending on the candidate's experience.
