Transport Debrief

The Transport Debrief is responsible to ensure that the Day 1 operation within the Transport Department is running smoothly, to ensure drivers are doing their planned runs, deal with issues that arise through the day or night (shift dependant). Ensure POD’s are obtained & uploaded, drivers are pre-briefed and de-briefed at beginning and end of shifts, allocating correct vehicles, liaising with Compliance team for Inspections/MOT’s etc. Drivers are tracked and monitored through there shifts.

Responsibilities
-
Ensure drivers are using the equipment provided to them - Tom-Toms.

Ensure Drivers run has been sent to the correct Tom – Tom and the correct vehicle is allocated to them & that both vehicle & trailer are road legal.

Prepare days or night run sheets (shift dependent)

Pre- brief drivers at the start of their shift ensuring they fully understand what they are doing and what is expected of them & that they have all the necessary paperwork they require.

Ensure drivers have the correct PPE.

Ensure drivers starting their shift are legal and within the law surrounding legal rest periods etc.

Monitor and implement Day 1 plan using the TMS system, ensuring any changes you make the TMS reflects these changes.

Monitor & communicate with drivers throughout your shift, resolve any issues that arise, ensure drivers are tracked and any unusual activity is questioned and brought to the attention of your line manager/section leader/team leader.

Report any sickness/no shows asap ensuring Transport Manager is aware.

Issue driver etc., should a request come through from any area of the business.

Ensure customers are informed promptly should a delivery or collection be at risk.

Deal with breakdowns quickly ensuring Compliance Department are aware along with Transport Manager.

Ensure the daily yard check has been complete and action any issues from the check, raise to the planning desk should you need to.

Answer all emails sent to the Transport Email account or POD inbox.

Ensure all drivers are de-briefed correctly on return to the depot, ensure all questions are asked and the driver downloads his Tacho Card, along with all the Hard Copy POD’s the driver should have with them from their day.Ensure hard copy POD’s are uploaded as soon as the driver hands them over. Should the driver not return with a POD’s raise the issue there and then with the driver and your line manager.

Report any suspicions regarding any staff with regards to behaviour/drugs/drink immediately to line manager or senior manager.

Carry out spot checks on vehicles and report all damages or defects to the Compliance Department, ensure a Defect Notes is filled out.

Ensure both the Goods Out & Goods in Screens on WMS are always up to date.

Answer all calls directly into the Operation Desk and transport mobile.

Ensure all out based Drivers are informed of the next day’s runs by 5pm daily
