Business Support Administrator
Safety Net is a charity supporting the recovery of those affected by rape, exploitation, sexual and domestic abuse across Cumbria. We offer advice, support, counselling, therapy and group work to adults, children and young people, who have been affected by abuse and trauma. This role is pivotal to ensuring the seamless operation of our service, with a significant focus on managing daily office and building administration tasks and supporting service delivery.
We're seeking an efficient and organised individual with strong IT proficiency, and a good working knowledge of databases and MS Excel.
Daily duties:
• Office Management: Provide high-quality administrative support to the Safety Net team. Share responsibility for the smooth operation of Safety Net’s offices, buildings and remote offices with the Head of Operations. Ensure building maintenance, health and safety , purchasing, utilities and cleanliness standards are monitored and managed efficiently. Manage room bookings and office calendars, ensuring efficient processes for each.
• Practice management support: support the Head of Operations in coordinating an induction process and training for new trustees, staff and volunteers. Take the lead of health and safety for staff, volunteers and trustees in the building and remote work settings. Support the Head of Operations in ensuring staff and volunteers meet mandatory learning and development requirements. Offer assistance to the leadership team as needed with staff case management and support the Tier 4 service Volunteer Coordinator, groups and befriending projects.
• Business Development: support the Head of Operations and Finance Officer in maintaining petty cash according to Safety Net’s policy
• Communication: warmly welcome and show compassion to all staff, clients, trustees and agencies. Answer queries about Safety Net’s services from various sources. Uphold Safety Net’s branding standards among staff, volunteers and trustees ensuring consistent and high-quality messaging both internally and externally.
• Service delivery support: take considerable responsibility with the Head of Operations to maintain essential; documentation for the smooth running of our services, such as referral forms, templates, notes and emails. Ensure accuracy and consistency in referrals from other agencies, based on our eligibility criteria. Manager the case management system by inputting new referrals, updating statuses and maintaining client data. Regularly audit the system, correcting errors and flagging training needs or irregularities to the Head of Operations.
• Data monitoring and contract management support: assist the Head of Operations in gathering and producing statistics, records and reports required by funders. Generate reports on new referrals and waiting lists. Support the Head of Strategy and Development and Finance Officer in maintaining the fundraising database. Role requirements:
Knowledge and experience:
- Business related Administration qualification
- Excellent computing skills including databases, Word, Excel, Outlook and PowerPoint
- Practical hands-on office administrative experience
- Familiarity with data collection, monitoring and reporting
- Educated to A level standard or equivalent
- Health and Safety/Risk Assessment/First Aid qualifications or training
- Familiarity with both the voluntary/charity sector
Skills and abilities:
- Excellent oral and written communication skills, including a pleasant and effective telephone manner. Ability to confidently convey information to the team, using different formats and platforms.
- Excellent time management and organisation skills
- Self-starter with the ability to use their initiative and judgement
- Excellent interpersonal skills – able to engage positively with a wide range of people. Able to resolve conflict in a positive and proactive manner.
- Able to maintain discretion and confidentiality with an understanding of professional boundaries
- Ability to take notes at meetings and produce concise, accurate minutes and reports
- Have a full, clean driving license and access to transport
- Ability to read, hear and discuss the work within a domestic and sexual abuse arena
- Ability to work occasional evenings and weekends, as required
