We are currently working with a leading M&E Contractor who have a strong presence in Ireland, the UK and Europe who are looking for an Office Manager to join their project office in Acton. You will be tasked with the daily running of the project office as outlined below and some document control duties also.
They are looking to pay an above market salary for this role and are requesting that candidates have worked with construction/M&E companies previously.

Acting as the main point of contact for incoming IT equipment required on site

Raising IT tickets with IT on server access, project email group

Print off and maintenance of all hard copy files on the project

Be familiar with purchasing systems for raising Purchase Orders, registering invoices and goods receipting

Ordering Drawings, filing them and putting away onto drawing sticks
-
Order of office stationery supplies, consumables, and similar
-
When office supplies are delivered making sure they are checked and put away accordingly
-
Raising site orders of PPE/making sure they are cross checked when they arrive and putting them away

Scanning & Filing of QSO's Packs and similar
-
Scanning & Filing Delivery Notes and send to accounts

Proactively manage meeting room allocation

Effectively following company’s standard operating procedures in submissions of documents, keeping document issue deadlines
-
Liaise with main document controller (on client/main contractor’s side) to resolve discrepancies and complete required changes to documents

Full control over download of Project documents (Incoming Information) onto server, updating Incoming Document

Register and upload to A-Site, full file distribution to Supply Chain

Monitoring statuses of documents and comments (outgoing Information)

Quality check and upload of all Outgoing information onto main contactor CDM

Maintenance and update of registers logging outgoing information such as: (drawings, RAMS, Technical submittals,

Samples, Benchmarks, RFI)

Advising team on File Naming Convection and Quality compliance

Ensure the safe keeping of confidential information

Running Reports For Project Director (Numbers on site, Overdue Documents etc.)

Maintain and organize site server, keeping folders and files saved according to company’s standards, making sure QA/QC procedures are followed

Adding and managing users to CDM platforms

Full maintenance of Asite platform use, user supervision and quality control over the platform

Control and maintenance of document workflow between us and internal subcontractors, making sure Incoming information is distributed accordingly via Asite

Providing Asite training to supply chain if necessary

Liaising with Asite consultant on user issues if they occur

Senior DC will supervise additional team members completing administrative roles to make sure they have all tools necessary to execute their responsibilities in most effective and efficient possible way
