The Secretary Role:
The incoming Secretary will be responsible for:
Providing accurate secretarial support, including audio and copy typing, and re-formatting documents as required
Compiling complex reports using templates
Reception duties: answering telephone calls, taking messages, meeting and greeting visitors, and providing refreshments
Data entry into the document management system, including raising purchase orders and fee invoices
General housekeeping, ensuring the office space is tidy, arranging service calls for IT and office equipment, and maintaining notice boards
Ordering office supplies, stationery, coffee, milk, fruit, and refreshments for meetings
Booking accommodation
Managing absences and holidays to maintain the effectiveness of the support services team
Supporting the office and team with any other reasonable tasks, including arranging staff eventsThe Secretary
The successful candidate will possess:
Flexibility to handle a range of tasks
Document formatting skills
A professional telephone manner
Good knowledge of Microsoft Word, Excel, and PowerPoint
Compliance with management systems and policies, including Core and inter-related IT Systems
A willingness to learn new skills and a proactive, can-do approach
Strong capability with technology and embracing new systems
Excellent administration, communication, and organizational skills
The ability to prioritize tasks effectively
Reliability and the ability to use initiative
The ability to work independently and as part of a team
