Overview:
We are looking for someone with a good level of experience that will be able to run the office and have PA responsibilities for the three project leads.
The role is as much about making sure the office runs well as being someone that is comfortable with front of house professionalism when receiving directorate and other important visitors to our offices.
We are a busy office so ideally we would like candidates to be in the office however, we do have an agile working policy which allows flexibility for staff to work from home (one day a week) on an ‘as and when’ need arises.
Key responsibilities:

Providing direct support to the Heads of Departments (Commercial & Technical)

Organising and managing diaries for the senior team (Technical Lead & Senior Commercial Manager) including scheduling and facilitating meetings.

PA to Project Director, management of his calendar and meetings, etc.

Providing administrative support - letters, memos, minutes of meetings, reports, printing, scanning, and copying
-
Other general office administration duties include answering phones, dealing with enquiries, and assisting all staff where required

IT set up for new starters

Assisting with recruitment of new staff
-
Creating PowerPoint Presentations and/or other documents for internal and external meetings

Uploading team documents onto SharePoint/ASITE
-
Maintaining holiday records and calendar
-
Sickness and absence reporting
-
Collating expenses
-
Travel arrangements where required
-
Ensuring the office maintenance and welfare is maintained – Edmunds Services
-
Ordering/managing budgets for supplies and consumables
-
Raising Purchase Orders
-
Office Health & Safety including monthly inspections and keeping records
-
Management of all site administrative team.

Office event management (office gatherings, raffles, Christmas etc)
