We are currently recruiting for a client based in the Padiham area who are looking for a Field Service Administrator. This vacancy is an excellent opportunity and is being recruited on a permanent basis. The successful candidate must have worked in a similar position previously and be able to work in a fast paced environment.
Duties and Responsibilities:
- Create and send quotations for customers from the project tracker form.
- Maintain and update SharePoint SMS Field service system.
- Communicate with customers via phone or email to gather all details concerning the visit, such as contact information, address and dates.
- Complete relevant sections of Service Work Orders.
- Obtain and process Purchase Order’s for each client.
- Coordinate billable and warranty visits with manager, customer and technician.
- Provide travel company with project ID and activity sequences.
- Support field service team, if needed, on travel bookings and VISA applications.
- Creating a list from service planner on a weekly basis.
- Inputting engineer’s timesheets each week to ensure all hours are captured.
- Work closely with the wider customer service team and purchasing team to manage all customer and purchase orders relating to field service.
- Seek review and approval for completed service contracts as required.
- Review billing sheets once approved by Field service manager.
- Looking at expenses, labour entered and to confirm if there are any discounts or post ship days as noted for each service visit.
- Send all paperwork for visit to accounting and customer for invoicing.
KNOWLEDGE/EXPERIENCE/SKILLS:
• Strong administrative skills.
• Ability to multi-task and set priorities
• Good communication skills
• Competent using Teams, Word, Excel and Outlook
• Experience working with ERP systems (IFS or similar)
Hours of work:
- Monday -Thursday 8:00am – 17:30pm and Friday 8:00am – 12:00 noon ( 40 hours per week )
- Salary: £28,000.00 + Benefits
