A position for a Fleet Hire Desk Assistant, has become available for my Public Sector client based in Durham.
The position is in the DH7 area of Durham is running right through to January 2025.
The hours of work are flexible on start and finish times. This role is for 37.5 hours per week.
Hourly rate is £12.18 per hour.
The main purpose of the role is assist the Fleet Hire Desk Supervisor and Fleet Business Manager in the day to day hiring operation. Ensuring that the hire contracts managed by Fleet Services are provided to the requirements of the customer and contract compliance is maintained
Duties & Responsibilities include:
· Co-ordinate and process on and off hire requests from Authorised Hirers, allocation to authorised suppliers and provide the service in accordance with DCC policies / procedures and contractual terms and conditions.
· Accurately / efficiently record vehicle, plant and equipment hire data on to the Fleet Management System, including in-fleeting and disposing of hired assets in accordance with DCC policies / procedures.
· Raise purchase orders / works instructions, accurately record as required on the Fleet Management System in accordance with DCC policies / procedures.
· Consult with customers to ensure vehicles / plant / equipment are provided to operational requirements and contractual compliance.
· Consult with suppliers to ensure vehicles / plant / equipment are provided to contract specification / compliance and meet the requirements of the customer.
· Carry out vehicle inspections in accordance with DCC Policy and Procedures.
· Provide supporting information to Fleet Hire Desk Supervisor and Fleet Business Manager in relation to any noncompliance supplier/customer issues. Record on Fleet Management System in accordance with DCC policy / procedures.
· Inform the Fleet Management Team of any on / off hires/exchanges relating to vehicles required to be recorded on DCC Vehicle Operators Licence.
· Provide supporting information to Fleet Hire Desk Supervisor and Fleet Business Manager in relation to damage investigations, accidents / incidents, supplier damage claims and fuel shortages. Record on Fleet Management System in accordance with DCC policy / procedures.
· Engage with Fleet Services staff, suppliers and customers as appropriate to facilitate hired vehicle servicing / maintenance, inspections and MOT testing operations are undertaken as required to ensure continuity of business-critical operations.
· Utilising the range of hire reports available, monitor the progress of orders on a daily/weekly basis, undertaking the required actions to facilitate effective service recharging and ensure contractual compliance is maintained.
· To provide cover in the absence of the Fleet Hire Desk Supervisor, ensuring the hire desk service is efficiently facilitated.
· To provide administrative assistance and general office duties, associated with the Hire Desk provision, with a view to maintain a cost effective and efficient service.
· To ensure full compliance with ISO Quality System requirements and a high standard of customer care. All employees are expected to actively promote continuous improvement in service quality and to be fully involved in the implementation of quality systems and techniques.
To carry out such other duties which may be allocated from time to time, and which are commensurate with the grading of the post.
A driving license is required for this role.
