Day-to-Day Responsibilities
As an International Customer Services Executive, you will handle both operational and customer service tasks. This role is approximately 70% operational (order to completion) and 30% customer liaison. Key responsibilities include:
Accurately processing and managing enquiries, quotes, sales orders, and invoices. Consolidating shipments, issuing picking lists and dispatch notes, and collecting proof of deliveries.
Following customers orders from start to finish, keeping them updated throughout the process.
Meeting Key Performance Indicators (KPIs) aligned with the company strategy.
Generating Purchase Orders (PO) to suppliers for easily sourced items.
Collaborating closely with and supporting the Sales Account Managers, providing regular updates and discussing important matters.
Providing proactive communication to key internal stakeholders (Sales, Regulatory, Warehouse, Finance, Procurement, etc.) to ensure smooth customer service operations.
Arranging the shipment of orders with logistics support, respecting temperature requirements for medicines and ensuring correct Incoterms compliance with GDP and internal SOPs.
Preparing export documentation and monitoring progress as necessary.
Developing relationships with assigned customers and assisting the Sales team in achieving sales objectives by processing customer accounts.
Complying with electronic filing procedures and SOPs.
Handling customer complaints promptly, escalating internally, providing appropriate solutions within time limits, and following up to ensure resolution.
Creating and updating customer profiles.
Setting up new products and amending existing products on the ERP system following procedures.
Following processes and recommending new processes to generate efficiencies.
Qualifications, Skills & Experience Needed
Required:
Minimum 2 to 4 years of customer service experience.
Excellent processing skills.
Excellent English verbal and written communication skills.
Ability to manage complex order process flows.
Experience with CRM and ERP systems.
Strong attention to detail.
Customer-focused mindset.
Ability to perform under pressure.
Multi-tasking, prioritization, time management, and workload management skills.
Ability to work on own initiative as well as part of a team.
Flexibility and adaptability to business changes.
