PA/Office Manager
£15.00 -£17.00 ph
Term Time only
We are currently recruiting a PA/Office manager on a temporary to permanent basis.
My client are looking for a candidate that provide comprehensive and confidential administrative support service to the Executive Principal.
Responsible for;
Provide an effective and efficient office support function, taking independent and proactive action where appropriate to resolve administrative matters.
Provide full secretarial support in relation to the production of correspondence, reports and records
Provide direct support in the handling and management of written correspondence
Assisting with the documentation for any internal or external meetings.
Coordinating and managing the Executive Principal’s diary, liaising as necessary with staff, parents, governors, pupils, outside organisations and members of the public in arranging appointments.
Reviewing and prioritising incoming correspondence and drafting generic responses where appropriate.
Filtering and appropriately referring documentation, complaints, telephone and personal enquiries.
Maintaining confidential filing system
Receiving visitors
Management of Administration/Reception Team
Ensure the smooth day to day running of the office
Manage the safeguarding processes for all visitors and contractors
Ensure the compliant administration of the following processes:
Exclusions
Complaints
Management of the office team
Assist the Local Administration Manager with the administration of the recruitment and appointment processes as required
Reviewing and prioritising incoming correspondence and drafting generic responses where appropriate.
Manage and ensure the accurate inputting and updating of information onto the MIS e.g. recording attendance information and parental messages
To conduct annual performance management interviews for members of the administrative/reception team
To identify professional development and training needs of Admin Team
To ensure adequate First Aid cover is available and that appropriate training is undertaken and updated.
Ensure compliance with Trust Records Management Policy
Manage cover for Admin team in cases of absence/sickness
Manage pupil filing and archiving for whole site
Manage the distribution of the school’s email correspondence
Manage the process to ensure adequate communication procedures, e.g. pigeonholes/noticeboards/briefings/team briefings
Manage arrangements /hospitality for a variety of school events including parents’ evenings, Open Evening/end of term functions
