After six years of organic growth, they’re now looking for a well organised Office Administrator to work closely with the Directors to support their daily office operations.
Overview:
As our Office Administrator, you will play a pivotal role in supporting the Directors and our team of Consultants, ensuring the smooth and efficient functioning of the office. You will support our consultants and management team by handling administrative tasks, marketing, training, invoicing and events, whilst maintaining an organised and welcoming office environment.
Responsibilities:
People Coordination:
- Own the preboarding and onboarding process, ensuring a smooth and enjoyable experience for all new employees and keeping HR records up to date
- Create and manage company incentives, and assist with the organisation of company events
Marketing:
- Assist with social media, job postings and advertisements on various platforms
- Manage all third party marketing and job posting companies
- Create spend reports and marketing insights on a quarterly basis
Invoicing:
- Manage bookkeeping duties and processing invoicing
- Chase debtors
Administration:
- Answer and direct phone calls
- Assist Directors with personal assistant tasks
- Schedule and coordinate monthly meetings and appointments
- Assist with special projects and events as needed.
Training:
- Internal system training for new staff members
Requirements:
- Proven experience as an Office Assistant, Administrative Assistant, or similar role
- Excellent organisational and time-management skills
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to multitask and prioritize tasks effectively
- Experience in the recruitment industry is a plus but not essential.
