Assistant Facilities Manager
Location: Aylesbury, England

Salary: £30,000 per year
We are seeking a dedicated Assistant Facilities Manager to join our client’s team in Aylesbury. This on-site role involves managing facilities services across multiple locations, with travel expected between sites. Upon successful completion of your probationary period, you will enrol in a Level 4 Facilities Management Apprenticeship.
Main Duties:
Interact with staff, customers, suppliers, and visitors to ensure high standards in all facilities-related activities.
Act as a point of contact for team members for hard and soft services across both sites.
Address and resolve queries from onsite customers, escalating when necessary.
Support the FM team in managing reactive, PPM, and scheduled job requests within the CAFM system.
Use the CAFM system to manage work orders and purchase orders.
Order and maintain stock for facilities management services, including consumables.
Attend team meetings and produce minutes and action items.
Ensure compliance with all relevant legislation, policies, and procedures at all times.
Monitor and control documentation, review contractor RAMS, and conduct proactive audits for user experience and H&S issues.
Oversee contractors to ensure safe and high-standard work delivery.
Provide reception cover as required and deputize for the onsite Facilities Manager in their absence.
Act as a liaison between the onsite FM team and external providers.
Person Specification:
Basic knowledge of Facilities Management and relevant legislation.
Strong relationship skills and the ability to manage and maintain relationships at all levels.
Experience working with a CAFM package.
Customer-focused mindset with good administration skills.
Ability to multi-task and maintain confidentiality.
Excellent time management and a drive to deliver outstanding customer service.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Understanding of information security and GDPR.
Good written English skills.
Full driving license.
