Secretary
Secretary / Administrator required for financial services clinet to include all administration duties for the Partners/Advisors of the firm and work well as part of a team. You’ll be involved with the co-ordination and implementation of office procedures and will frequently have responsibility for specific projects and tasks. The majority of your work will involve both written and oral communication, word processing/typing and dictation, and requires relevant skills such as IT as well as the ability to multi-task and work well under pressure.
Tasks
As a secretary, you’ll need to:
Be proficient at dictation – audio and copy type
Proficiency in Microsoft - Word/Excel/PowerPoint/Outlook
Use our internal management system – CCH (Training required)
Use and understand the CCH billing system/month end billing required (Training required)
Understand our Anti Money Laundering (AML) procedures and work closely with our AML officer (Training required)
Deal with telephone and email enquiries
Photocopy/print/scan various documents
Organise and file paperwork
Manage filing system/archiving of files
Sort and distribute incoming post
Send outgoing post with the use of a franking machine
Keep diaries for all Partners and arrange appointments
Set up Zoom/Team calls
Schedule and if necessary, attend meetings, create agendas/take notes
Liaise with external contacts, clients/suppliers
Help with arrangements of in-house and external events and attend, if necessary
Help and support your team and the office managerSkills
You’ll need to have:
Proven work experience as a Secretary, Administrative Assistant or Personal Assistant
Team working ability
Good time management
Good communication skills, written and verbal
Good self-motivation
The ability to plan/prioritise your own workload, use your initiative and meet deadlines
Tact, discretion and respect for confidentiality
The ability to manage pressure and conflicting demands
A pleasant, confident telephone manner
